What is Clarity?
Clarity turns your everyday sales, expenses and costs into plain-English answers: are you actually profitable, is your cash going to run short, is a price too low, and what should you do about it. It reads what you enter and states things directly, “you’re on track” or “cash runs short in Week 7,” not a wall of numbers you have to interpret yourself.
Who is it for?
Owner-operators who want a real financial picture without learning accounting first: retailers and market vendors, rental property owners, service businesses (consultants, tutors and similar), and home care providers. No bookkeeping background needed, Clarity explains itself as you go.
What problems does it solve?
Am I actually profitable? Will I run out of cash? Is my pricing right? Who owes me money? What’s my labour actually costing me? Am I giving away too much in discounts?
Your data stays yours. Everything you enter lives in your browser on this device, not on a Margini server. See Data & Security for what that means in practice.
A welcome screen offers a choice: explore a sample business, start from scratch, upload an existing Margini file, import from your POS or QuickBooks, or upload any spreadsheet. Not sure? “Explore the sample business” is the fastest way to see what the app can do before entering anything real — and it’s risk-free: if you already had real data entered, it’s tucked away while you look, not erased, see below.

If you explored the sample business, your own data (if you’d entered any) was safely parked, not erased. A “↵ Return to my data” button appears in place of the “↻ Change Starting Data” button under Dashboard's “What to Do Next” (Other things you can do), and in Manage Data, click it any time to bring your numbers back exactly as they were. Ready to keep the sample data instead, or start fresh? Any other choice from the ↻ chooser below asks you to confirm first whenever it would discard real work with one click, whether that’s your own entered data or data still parked from an earlier sample preview. Just opened the chooser to look and don’t want to pick anything? Close it with the × in its top-right corner, nothing changes until you actually choose.
What order to enter things in
Follow the Setup progress card above: Revenue, then Expenses, then Fixed costs, then Inventory, then Pricing. Each gold bar is a step you’ve completed; once all five are done, the card disappears on its own with a one-time “✓ Setup complete” message.
Don’t try to set everything up on day one. Log a sale, log an expense, enter your fixed costs, and read what Dashboard tells you. Turn modules on as a real need for them comes up.

Cash Flow
Money actually moving in and out of your bank account over time — different from profit, which counts a sale the moment it’s logged, not when it’s collected.
Gross Profit / Gross Margin
Revenue minus the direct cost of what you sold, before rent, wages or other overhead. Left blank rather than guessed when your cost of goods isn’t known.
Net Profit / Net Margin
What’s left after every cost. The number that answers “did I actually make money,” and what Dashboard leads with.
Budget
A monthly target you set for revenue and major cost categories. The Budget tab compares what actually happened against it.
Receivable
Money someone owes you that you haven’t collected yet, tracked in Who Owes Me. Doesn’t add to revenue again when collected — it was already counted once, at the sale.
Fixed Cost
A cost that recurs at roughly the same rate every month regardless of sales: rent, wages, owner pay, insurance. Used for planning; the real bill you paid goes in Expense Log instead.
Overhead
Indirect costs not tied to one unit sold — rent, utilities, admin. Allocated across products on the Pricing tab so each “true cost” reflects a fair share.
Working Capital
Cash and near-cash resources to cover day-to-day costs. Clarity doesn’t compute one figure directly — Cash Position and the 13-week Cash Flow projection answer the same underlying question.
COGS (Cost of Goods Sold)
What it actually cost you to provide what you sold — ingredients, stock, materials, a subcontractor’s fee.
Payroll % (of Revenue)
Total wages paid this period divided by revenue this period. Read the same way on the People tab and on Dashboard — both use the same underlying number.
Discount % / List Revenue
Discount % is how much was taken off one sale. “List revenue” means what you’d have billed at full price — actual revenue plus everything given back in discounts.
What is this app?
Your CFO, by Margini turns your everyday numbers into clear answers on profit, cash, pricing, stock and taxes, built by a CPA for small store owners.
Is my data safe? Where is it stored?
Your financial data (sales, expenses, and everything else you enter) stays in your browser on this device and is auto-saved here — it isn't uploaded anywhere by default. Your sign-in email and basic account details are stored with us so you can sign in. See Data & Security for the full picture, including the optional encrypted cloud backup. Use ↓ Backup to keep a full Excel copy too.
What happens if I lose access to my sign-in email?
Sign-in is passwordless, so your email is the only key — there's no password to reset instead. Two things help: add an Account Recovery Contact under Settings → Account before you ever need it (optional, never used for anything automated), and if you know you're about to lose access to an email, change your sign-in email proactively from the same screen. If you've already lost access, email hello@marginifinancial.com from any address; we verify manually (your business name, roughly when you signed up, and something about your recent data) and never ask for a government ID.
Will my work still be here if I close the tab?
Yes, the app auto-saves to this browser, so your numbers are waiting when you come back on the same device. You’ll see “✓ Saved” at the bottom.
How do I save a copy I can keep or move?
Click ↓ Back up your data under Dashboard's “What to Do Next” (Other things you can do) to download an Excel file with a tab per section.
The app opens with example numbers, are those mine?
No, it loads a sample business so you can explore. If you had real data entered already, it wasn’t erased, it’s parked until you click “↵ Return to my data” (Dashboard's “What to Do Next” or Manage Data). To begin empty instead, choose “Start from scratch” on the welcome screen, or Manage Data → Clear all data.
I explored the sample business, how do I get my real data back?
Click “↵ Return to my data,” it replaces the “↻ Change Starting Data” option under Dashboard's “What to Do Next” (and appears in Manage Data too) any time you’re viewing a sample with your own data parked behind it. One click restores exactly what you had, nothing is lost.
How do I get back to the welcome screen?
Open this Help panel and click “↻ Change starting data” on the Getting Started tab, or use “Change how to start” in the Setup progress card on Dashboard. Either one reopens the welcome chooser so you can switch between the sample business, starting from scratch, or uploading a Margini file, or close it with the × in the corner to back out without choosing anything.
Can I import data from my POS (Clover, Square, etc.)?
Yes. On the welcome screen choose “Import from your POS,” or open this Help panel and click “Import from your POS.” Pick your system (Clover, Square, Toast, Lightspeed or Other), upload the CSV export, and check the preview before it loads. No export handy? Each option offers a sample file to try. Your file is read in your browser and never leaves your device.
How do I add a lot of entries at once?
In Manage Data, use the bulk paste boxes for sales, expenses and products, paste rows straight from a spreadsheet.
What are modules?
Open ⚙ Settings (Manage group in the sidebar) → Modules to switch features on or off (Pricing, Inventory, Cash Flow, Tax set-asides…). Turn on only what you need.
Where do the insights come from?
Dashboard reads your entries and flags things like card fees, waste and your cash position. The more you enter, the sharper the insights.
Can I use my existing Margini spreadsheet?
Yes, the upload version reads Margini Excel files and builds your dashboard instantly. Ask us for the upload link.
Can I create a report to share with a lender or landlord?
Yes. Manage Data → “Export Business Summary” builds a one-page report (Financial Health, Revenue, Net Profit, Cash Position, a 13-week Cash Flow snapshot, Receivables, top expense categories and revenue sources, and a short CFO Read summary) formatted for printing or saving as a PDF, without exposing your full day-to-day detail.

Business types, importing, and the modules you turn on as you need them — the parts of the guide that go beyond a quickstart. See Navigation for the always-on tabs, and Data & Security for backup and restore.
Business types
You picked one on the welcome screen (or it defaults to General). It changes what a few screens track, not the underlying math, and you can switch it later without losing data.
General business. Retail, market stalls, food businesses. Sales Log, Pricing and Inventory work as described in Navigation.
Rental properties. Adds a Rooms tab: each room tracks monthly rent and cost, and a tenancy history (move-in and move-out dates) rather than a single "occupied" flag, so past months stay accurate even after someone moves out. "Generate this month's rent" fills in rent rows for every currently-occupied room in one click. Room profit is labeled "before shared costs," it's direct cost only, not an allocation of the whole property's overhead.
Services. For consulting, tutoring, and similar. If you genuinely have no cost of goods, check "No cost of goods" in Fixed Costs so the app states your margin instead of asking for a COGS figure it can't get from you.
Home care. Adds a Clients tab, lighter than Rooms, no recurring rent, just who you're billing. Sales Log rows can be tagged to a client to see revenue per client.
Importing your numbers
All imports happen in your browser, files are read locally and never uploaded anywhere, and each one previews what it found before anything changes your data.
From your POS. Clover, Square, Toast, Lightspeed, or Other. Upload the CSV export, check the preview, then choose Replace or Add to existing.
From QuickBooks. A Profit & Loss Detail report (CSV) pulls rent, payroll, and other fixed costs.
Any spreadsheet. You tell Margini which columns are which, works for sales, expenses, or products from a file that isn't from a listed POS or QuickBooks.
A previous Margini backup. Restores everything, not just sales, see Data & Security.
Further modules you can turn on
Open ⚙ Settings (Manage group in the sidebar) → Modules to switch any of these on. All ship off until you turn them on; start with what's relevant to your business, not everything at once.
Pricing. The right price per product from true cost, overhead, and target margin.
Inventory. Track stock, spot slow movers, see what waste is costing you.
Budget. Compare actual revenue and costs against your plan.
Who Owes Me. Receivables: who owes you, how much, and what's overdue.
Tax Set-Aside. How much to set aside for tax so it's never a surprise.
Channels, Growth KPIs, Set-Asides. Performance by sales channel, growth metrics at a glance, and splitting incoming cash into tax/profit/emergency/owner buckets.
Multiple businesses
The business switcher at the top of the sidebar (your business name and a ▾) isn’t just a label — click it to see every business on this device, switch between them, or + Add Business to start a new one from scratch. Each business keeps its own sales, expenses, modules, and settings; switching never mixes one business’s numbers into another’s. A business created before you signed in (or on a device that was offline) shows “Connect to your account” in the switcher — tap it once to link that business to your Clarity account so it shows up wherever you sign in. Not connecting it yet doesn’t lose anything; the business stays fully usable on this device either way. “Archive this business” in the same menu tucks a business away without deleting it — find it again under “Show archived.”
Team members & roles
Under ⚙ Settings → Members, invite someone by email to help run the business with you — they need a Clarity account already (ask them to sign up first if an invite comes back “no account found”). Every invitation gets one of four roles, each opening up more than the last:
Read-only
Can see everything except Payroll, can’t add, correct, or delete anything. Good for an accountant or advisor who just needs the picture.
Manager
Everything Read-only can do, plus logging new sales, expenses, and receivables day to day. Can’t correct or delete an existing entry, and can’t see Payroll at all — a Manager being trusted with day-to-day logging doesn’t mean seeing everyone’s pay.
Bookkeeper
Everything Manager can do, plus correcting existing sales, expenses, and receivables, and both viewing and correcting Payroll — legitimate bookkeeping work needs both.
Admin
Everything Bookkeeper can do, plus deleting/voiding any entry (including Payroll), inviting or removing other members, and managing business settings. The only thing an Admin can’t do is remove the Owner.
The person who created the business is its Owner — not an invitable role, and the only membership that can never be removed. Only Owner and Admin can invite or remove people; everyone else sees the member list read-only. Removing someone (“Remove” next to their name, or “Cancel” on a pending invite) revokes their access immediately; it doesn’t touch anything they already entered.
Every one of these rules is enforced on the server, not just hidden in the menu — a Manager can’t see Payroll by any route, not just the obvious one.
People & Payroll (Wages & Owner Pay)
Always on — who works for you (including yourself, as an Owner) and what labour costs, no tax withholding, benefits, or time clock, just wages recorded correctly and once. Add a person, log hours and rate each pay period, then click Mark paid: that's the one step that writes the Wages expense, you never re-type it in Expense Log or in Fixed Costs. The Wages & Owner Pay figure on the Fixed Costs tab is read-only for this reason — it's the total of everyone's pay, always kept in sync automatically, so it can never be entered twice.
Each person also gets a cost treatment: Overhead (supports the business generally), Direct labor (directly delivers what you sell), or Mixed (a percentage split you set, e.g. 60% direct / 40% overhead). This only changes how Pricing treats that person's pay when working out overhead — their full wage always counts in your financial results either way, so nothing about your actual Revenue, Net Profit, or Cash Flow changes based on this choice. If you had Wages or Owner Pay entered in Fixed Costs before this existed, Clarity offers a one-time move into People & Payroll that preserves your existing total exactly — nothing is deleted or reinterpreted, and declining just asks again next time rather than losing the figure.
Made a mistake in an entry? From Payroll History, Edit lets Owner, Admin, or Bookkeeper roles correct that entry's hours or rate inline — if it's already paid, its mirrored Wages expense updates automatically to match, so the two figures never drift apart. Delete removes the entry entirely and is restricted to Owner or Admin, a stricter check than Edit, since deleting is never the right way to fix a mistake — use Edit for that. If a deleted entry was already paid, its mirrored Wages expense is removed with it, so nothing is left behind pointing at an entry that no longer exists.
Discounts & complimentary services
Built into Sales Log, no separate module. Price the item on Pricing first, then in Sales Log or Enter Numbers select it and enter a Discount % — Final Price calculates live (Standard Price × (1 − Discount %) × Units). A complimentary sale is just Discount % = 100, not a separate "free" product: that keeps what was actually delivered accurate, for any business type. A discounted or comp sale shows a small tag ("15% OFF" or "COMP") in Sales Log so it's never mistaken for a mistake later.
Recurring Revenue (Services & Home Care)
For a client who pays you on a repeating schedule — a monthly retainer, a weekly session, an ongoing care plan. Set it up once from Clients → Recurring Revenue: choose the client, the amount, and whether it repeats weekly, every 2 weeks (biweekly), or monthly. Setting up a schedule doesn't record any revenue by itself, it's an expectation, not a transaction — Clarity tracks it in Who Owes Me automatically as each payment comes due. Click Mark Paid when the money actually arrives; that's the one step that writes the Sales Log entry, you never re-enter it by hand. If you already recorded that payment the normal way through Sales Log first, Mark Paid recognizes it and asks whether to use that existing entry instead of creating a second one — nothing is ever silently duplicated. Pausing or removing a schedule only stops future payments from being expected; anything already recorded stays exactly as it is.
A schedule can carry a standing discount %, for a client who always pays a reduced rate. It works the same way a Sales Log discount does — the amount you enter is the full rate, Clarity shows what actually gets billed after the discount, and the resulting Sales Log entry carries the discount just like a manual one, so it's counted correctly everywhere discounts are reported (Additional Insights, Discounts Given, Business Summary Report). Changing a schedule's discount only affects occurrences generated from that point on; anything already billed keeps the rate it was actually billed at.
The Recurring Revenue panel itself collapses once you have no active schedules (or stays expanded if you do), and always shows how many are active and overdue even while collapsed. A search box inside it filters by client name, description, amount, or frequency — useful once you have more than a handful of schedules.
Navigation lives in a sidebar (always visible on a laptop or desktop screen) or a ☰ menu that slides in from the left on a phone or narrow tablet. It's grouped by the question you're actually asking, not by module name:
Dashboard
Your home base, in two equal-width columns (stacks into one on a phone or narrow tablet). Left column, supporting evidence: Financial Health, At a Glance (Revenue, Net Profit, Net Margin, Cash Position, Who Owes You — each with its own “show working”), Key Trends (compact Cash Flow and Processing Fees previews, each linking to Additional Insights for the full chart), and Setup Progress. Right column, the decision column: “What needs your attention” (the same CFO Read insights as Additional Insights, top 3 shown by default, ranked High/Medium/Low — tap any row to expand it into the full explanation and a “Worth considering” suggestion, or “See all” for the rest), your Revenue & Profit Trend chart, and “What to Do Next.” That last one is CFO Read's own top 3 actions restated as what to actually do about them — not a second, independently-generated list — with a separate, clearly-labeled “Other things you can do” row underneath for the day-to-day shortcuts (Record an expense, add a customer payment, upload data, add a business unit, back up your data, change starting data).
Where Your Money Went
Sits right after Dashboard. A single flow — Revenue, Cost of Revenue, Gross Profit, Operating Expenses, Operating Income, Taxes & Other, Net Income — showing how revenue actually turns into profit, all from the same figures Dashboard and Additional Insights already use, nothing recalculated separately. Every stage is clickable: Revenue opens where your revenue comes from by product/service, Cost of Revenue and Operating Expenses open their own breakdowns (Operating Expenses further splits into Payroll, Fixed Costs, Processing Fees, Marketing, and Other), and Taxes & Other / Net Income open a plain explanation of the estimated tax set-aside — note that the Net Income shown here nets that estimate out, so it can read lower than the Net Profit figure shown everywhere else in Clarity, which is stated before tax. Only one stage's detail is open at a time. A confidence badge (High/Medium/Low/Not enough data) sits at the top, and Operating Margin gets a plain-language reason underneath it whenever it's negative, both reusing figures the app already computes elsewhere rather than a second explanation engine.
Additional Insights
The deeper, chart-heavy view (previously called Full Analytics): Net Margin, Gross Margin, Lowest Cash Week, Processing Fees, and Waste/Spoilage figures with show-working, the Payment Processing Fees chart, 13-week Cash Flow chart, Expense Breakdown, Top Products/Categories, Discounts Given, and more. The Revenue & Profit Trend chart itself lives on Dashboard now, not duplicated here.
Money
Enter Numbers, Sales Log, Expense Log, Fixed Costs, Who Owes Me module, Cash Flow module, Pricing module — the day-to-day entry and cash-focused tabs. Collapsed by default with a gold arrow next to the heading; tap “Money” to expand it.
Business
Inventory, Rooms or Clients (whichever your business type uses), Growth KPIs, Scenarios, Budget, Tax Set-Aside, Channels, Set-Asides — all module, off by default except what your business type turns on automatically. People & Payroll (Wages & Owner Pay) is always on, not a module you switch on, since it's the source Fixed Costs reads from. Collapsed by default, same as Money.
Reports
Business Summary Report — a printable one-pager for a lender, landlord, or advisor. Collapsed by default, same as Money and Business.
Manage
Settings (including ⚙ Modules) and Manage Data (backup, clear, or bulk-import everything you've entered). Collapsed by default, same as Money, Business, and Reports.
There's no separate Quick Actions section in the sidebar — day-to-day shortcuts (recording a sale or expense, uploading data, adding a business unit, backing up, changing starting data) live in Dashboard's “What to Do Next” instead, under “Other things you can do,” so the sidebar itself stays to Dashboard, Additional Insights, and the four groups above. Turning a module on or off in ⚙ Modules adds or removes its entry here immediately — nothing is ever shown for a feature that's switched off. “? Help & Guide” and “☰ Margini Site” live at the very bottom of the sidebar too, so they're never a floating button covering your numbers.
⚙ Settings opens as a small floating panel near the gear icon at the top-right of the header (or via Settings under Manage) instead of a full-width bar pushing your numbers down the page. Use the dropdown inside it to switch between Business, Financial Preferences, Modules, Data Center, and Account; close it with the ×, or click anywhere outside it.
Symptom, likely cause, what to do — for “something looks wrong.” For “how do I” questions, check FAQ first.
Uploaded a file, but nothing changed
Every import needs an explicit Replace or Add to existing click. Re-open the import screen and check for a ✓ Applied badge next to each section you meant to bring in.
A POS/QuickBooks import mapped a column wrong
The vendor mapping assumes their standard export format. Pick “Other / not listed” and map columns yourself, or fix the rows directly in Sales/Expense Log.
Yesterday's figures are gone
Data lives only in this browser (see Data & Security) — it can be lost by clearing browser data or switching browsers. Restore a recent Backup via “Upload an existing Margini file.”
An expected tab (Rooms, Clients, People) isn't there
Rooms/Clients depend on your business type; People & Payroll is a module you turn on manually under ⚙ Modules.
Logged a sale/expense but a card shows the old number
Check the Rolling 30 Days / Month to Date toggle in the top bar — a back-dated entry might fall outside the current window.
Cash Flow says “too early to forecast”
The 13-week projection needs enough trading history to trust. Keep logging — it appears once there's enough behind it.
Cash Flow doesn't match my bank balance
It projects from what you've logged in Sales Log and Fixed Costs, not your bank account directly — anything not yet entered won't be reflected.
Something looks visually broken
Try refreshing first — the app periodically checks for a newer build. Automatic backups to a synced folder currently work on Chrome and Edge only.
A suggested routine, not a requirement — following it consistently is what keeps Dashboard's insights sharp instead of stale.
Daily 2 min
Log today's sales and any expense that just happened in Enter Numbers. Mark anything Unpaid so it lands in Who Owes Me automatically.
Weekly 10 min
Read Dashboard's Financial Health card and full CFO Read. Check Cash Flow for any week projected to go negative. Review Who Owes Me for anything overdue. Mark any completed payroll paid.
Monthly 20 min
Review Pricing if cost of goods or overhead changed. Check Discounts Given isn't creeping up unnoticed. Compare actual vs. Budget. Download a Backup — don't wait for the reminder.
Quarterly 30–60 min
Look at Dashboard's Revenue & Profit Trend over the full quarter. Reconsider your Tax Set-Aside rate. Revisit Scenarios for any bigger decision on the table.
The habit matters more than the schedule. A daily two-minute log beats a perfect once-a-month catch-up.
Where your data lives
Signing in uses your email and a one-time link; that, plus basic account details (when you signed up, your business name and type), is stored with our identity provider so we can recognize you — that's identity data, not your business's numbers. If you use Multiple businesses or Team members (see Module Guides), the business names, who’s a member, and each person's role are stored with us too — that's what lets a business and its team show up correctly wherever a member signs in. Everything you actually enter about your business — sales, expenses, products, fixed costs, people, payroll — stays in your browser on this device. None of it is sent to or stored on a Margini server by default. Nobody at Margini Financial can see your day-to-day numbers unless you choose to share a Backup file or your screen with us directly.
Your day-to-day entries don't yet follow you between devices or browsers automatically — a sale logged on your laptop doesn't appear on your phone by itself. Until that catches up to Members and Multiple businesses, use ↓ Backup / Cloud backup and restore on the other device (see below) to bring your numbers along, or simply keep entering on the one device you use for this business.
Cloud backup is available: turn it on and your financial data is encrypted in your browser with a passphrase only you know before anything uploads — we store the encrypted result, not your numbers, and can't read it or recover it if that passphrase is lost. Off by default; everything above about local-only storage stays true unless you opt in.
Account access and recovery
Signing in is passwordless: whoever can click the link sent to your registered email is you, as far as the app is concerned. That's convenient, but it means losing access to that email address means losing access to your account — there's no password to reset instead.
Before you lose access: if you know you're about to change email providers or close an old inbox, update your sign-in email first. Settings → Account → “Change sign-in email” sends a confirmation link to the new address (and possibly your current one too, some projects require both); nothing changes until you confirm, and your business data and session stay exactly as they are throughout.
Add a recovery contact: Settings → Account → “Account Recovery Contact” is an optional email or phone number our support team can use to help verify it's really you if you ever need manual recovery. It's never used for anything automated — no texts, no emails sent to it — it's just there for a human to reach you if needed.
If you've already lost access: email hello@marginifinancial.com from any address explaining what happened. We verify manually before making any change — be ready to describe your business name, roughly when you signed up, and something about your recent data (a recent sale, a product you've priced, anything only the real account holder would know). We will never ask for a government ID for this.
Backup and re-importing
Your work auto-saves to this browser as you go, no save button needed.
↓ Backup downloads a full Excel copy, one tab per section, including currency, target margin, and which modules you've switched on, not just your figures.
Save that file into a cloud-synced folder (Google Drive, iCloud, Dropbox) so a lost or wiped computer doesn't mean lost data. On Chrome or Edge, Manage Data → “Your data is yours” can automate this to a folder you choose.
Restore on another device: open ClarityApp there, choose “Upload an existing Margini file,” then pick Replace or Add to existing.
On a shared or public computer, use “Clear data from this device” in Manage Data when done, ideally after backing up first.
If it's been about a week since your last backup and you've changed things, the app reminds you with a one-click “Back up now.” Dismissible, it won't badger you.
Printing a snapshot

Sharing a report externally
Manage Data → “Export Business Summary” builds a one-page Business Summary Report: Financial Health, Revenue, Net Profit, Cash Position, a 13-week Cash Flow snapshot, Receivables, your largest expense categories, top revenue sources, and a short CFO Read summary, formatted for printing or saving as a PDF. Meant for sharing with a lender, landlord, business partner, or advisor who needs the picture without your full day-to-day detail. It reuses the exact same figures Dashboard and Additional Insights already show you, nothing is calculated differently for the report, and it respects the same “not enough data yet” limits those screens do rather than guessing.
Your privacy, in short: clearing your browser data or uninstalling your browser removes your ClarityApp financial data permanently — Margini Financial cannot recover it for you. Your financial data doesn't leave your device unless you deliberately back it up (Excel download, or an encrypted cloud backup if you turn it on) — that responsibility sits with you. Recently fixed
Wages and Owner Pay could be double-counted if you used both Fixed Costs and People & Payroll. Entering a flat monthly Wages or Owner Pay figure in Fixed Costs while also using People & Payroll for the same people meant labor cost could be counted twice in Net Profit and in Pricing. People & Payroll is now the single source for both figures — Fixed Costs shows a read-only total that's always kept in sync. Anyone with an existing Fixed Costs figure gets a one-time offer to move it into People & Payroll with the amount preserved exactly; declining leaves it untouched and asks again next time, nothing is ever silently changed. Each person can also now be classified Direct labor, Overhead, or Mixed (with a percentage split), so Pricing can tell the difference — without this, every dollar of labor was always treated as overhead.
Recurring payment matching is more reliable for weekly schedules. A “Payment may already be recorded” warning could previously appear on an ongoing weekly client even though nothing was actually duplicated — it was comparing dates, not the specific payment. Mark Paid now checks against the exact scheduled payment it's resolving, so that false alarm is gone; the safety check for a genuinely duplicate manual entry is unchanged.
Excel backup now includes People & Payroll, Recurring Revenue schedules, and Cash Flow adjustments. These were tracked in the app but silently left out of the downloadable Excel file — a restore came back with zero staff, zero recurring schedules, and zero payroll history even though the original data had them. Cloud backup was never affected, only the Excel format. The restore preview (“Found in this file”) now also lists every sheet the file actually has, not a fixed shortlist.
“Clear data from this device” now genuinely clears everything it promises. Clients, Business Units, Rooms, Tenancies, and Recurring Revenue schedules used to survive it, left behind while the tab that would show them disappeared.
A new Recurring Revenue schedule now shows up in Who Owes Me right away. If its first payment was already due (or due today), it used to sit there reading “Upcoming” and generate nothing until you reloaded the page. It now generates that occurrence, and shows Overdue correctly, the moment you add it.
The client list on the Clients page can now be collapsed. A long list used to push the Recurring Revenue panel far down the page; a “Hide list” toggle keeps the summary card visible while getting the rest out of the way.
Fixed Costs no longer fabricates a fake starting point on your very first edit. Entering rent, wages, owner pay, or other fixed for the first time used to invent a fictional “since day one” history out of whatever was already sitting in those fields (often $0), then blend your real new rate against that fiction for the rest of the current window — Total Expenses and Net Profit could look like they hadn't moved even after entering real numbers. The first edit now records only the real rate you just entered, with nothing invented before it.
Recurring Revenue now supports every-2-weeks (biweekly) schedules, alongside weekly and monthly, and can carry a standing discount that flows through to Sales Log and every discount figure that reads it (Additional Insights, Discounts Given, Business Summary Report) exactly like a manually entered discount does.
The Recurring Revenue panel can now be collapsed and searched. It collapses on its own once there are no active schedules, always shows the active/overdue count even collapsed, and a search box filters by client, description, amount, or frequency.
New: “Where Your Money Went,” right after Dashboard. A single flow from Revenue through to Net Income, every stage clickable for its own breakdown, all reading the same figures Dashboard and Additional Insights already use. See Navigation for the full description.
The in-app User Guide download link now resolves correctly. It previously pointed to a path that didn't match where the PDF is actually deployed and could land on the marketing site instead of the file.
Known beta limitations
Pricing fields are presentation-only for non-retail types. Hourly, nightly, and per-visit rates reuse the same underlying structure retail uses, relabeled. Nothing calculates incorrectly, the field names are just a closer fit for retail.
Cross-reference links can go stale after a full backup restore. The visual link between a payroll entry and its Wages expense (or an Unpaid sale and its receivable) is rebuilt with new internal IDs on restore. Both sides stay complete and correctly counted; only the linked-display convenience can stop reflecting the connection.
No rental import path. POS and QuickBooks import stay retail-shaped for now.
Recurring Revenue's duplicate-payment detection is a targeted check, not exhaustive. Mark Paid recognizes an existing payment only if it's the same client, the exact amount, and within about a week of the expected date; outside that window it proceeds as a normal payment and won't be flagged. Partial payments against a single recurring occurrence aren't supported yet either — each occurrence expects one full payment.
Recurring cost reconciliation is a light check, not a full one. Entering the same cost in both Fixed Costs and Expense Log double-counts it. Tagging an expense to Rent, Wages, or Owner Pay (see Data & Security) is the reliable way to avoid this, and logging an untagged expense for the exact amount of an existing Fixed Costs rate now warns you first, but it's not comprehensive, a slightly different amount, or a partial payment, won't be caught. The discipline is still mostly manual.
